About the Meeting
The IRP Annual Meeting is a unique opportunity for all IRP jurisdictions and industry to come together for ballot discussions, committee meetings, education sessions, roundtables, and the annual business meeting. The event attracts influential people from the motor carrier community from all across North America. 

Committee and the IRP Board meetings will be Monday, April 30th. The IRP Board meeting will also meet the morning of Thursday, May 3rd.

Rate During the Meeting
$165, plus applicable tax which is currently 15.75% + $2.00 per room, per night. This rate applies the nights of April 28 through May 3, pending availability. The reservations deadline is April 8, but the room block may fill before then.

A deposit equal to one night’s stay is required to hold each reservation.  Personal check, money order, or a valid American Express, Visa, MasterCard, Diner’s Club Card, or Carte Blanche card number and expiration date are acceptable. 

Extending Your Stay

A rate of $219 will be available three days before and after the meeting; specifically, April 25, 26, 27 and May, 4, 5, 6. The New Orleans Jazz and Heritage Festival will take place April 27 – May 6, 2018. This both gives you interesting tourist options before and after the meeting, but also means hotel rooms will be hard to find as the meeting approaches.

If you plan on extending your stay:

  • Funded by IRP: If you anticipate having your travel funded by IRP as:
    • A Board member,
    • A member of the Dispute Resolution, IT, or Peer Review Committees, or
    • A funded jurisdiction representative,

    Please contact IRP with your arrival and departure dates now. IRP will block these dates for you with the hotel. You will be responsible for payment of these additional nights. Once meeting registration opens in February, you will be asked to complete a hotel form with additional details. For the nights of April 25, 26, 27 and May, 4, 5, 6, the cancellation period required is 45 days. If you cancel one of these nights within 45 days of your arrival date, you will be charged for one night’s deposit.

  • Self-pay (either by you or your organization):
    First, make your reservations online or by calling 1-800 774-1500, group code IRP, for any conference night you are staying (nights of April 28 through May 3). Then contact IRP's group rooms coordinator at the hotel, indicating your reservation number and your complete requested arrival and departure dates. REAL ID: Passport Might Be Needed for Travel for IL, LA, MI, MO, NY, RI
If you are traveling with an ID from Illinois, Louisiana, Michigan, Missouri, New York, or Rhode Island, you might need a passport for air travel by April 2018 due to the implementation of Real ID. The passport application process takes 4 – 8 weeks, so if you are from one of those states and do not have a passport, it is recommended you start the process ahead of time.

Funded Travel Change for Jurisdictions with Board or Committee Members
In the past, if a committee volunteer from a jurisdiction was funded to attend the IRP Annual Meeting, the voting member was not covered. The IRP Board reviewed this policy and determined the importance of funding the voting member in addition to any committee volunteers; therefore the voting member will be funded as well. However, if the committee volunteer is also the voting member for a jurisdiction, IRP will only fund that person.
