About the Meeting
The IRP Annual Meeting is a unique opportunity for all IRP jurisdictions and industry to come together for committee meetings, education sessions, interactive discussions, and the annual business meeting. The 2018 meeting theme is Our Transportation Future. Tomorrow is going to be very different from today. But how can we know what tomorrow will look like and what can we do about it today? With a thoughtful keynote kicking off the discussions, we will explore the emerging technologies and trends directly impacting the motor carrier industry. Discussion will include trends such as autonomous, hybrid and fully electric vehicles; their effects on relevant taxing and fee structures; and how they will reshape the transportation landscape. Attendees will also learn how to ensure their organizations respond to modern culture, mindsets and preferences.

Rate During the Meeting
$165, plus applicable tax which is currently 15.75% + $2.00 per room, per night. This rate applies the nights of April 29 through May 3, pending availability. The reservations deadline is April 8, but the room block may fill before then.

Rate includes complimentary internet in guest rooms.

A deposit equal to one night’s stay is required to hold each reservation. Personal check, money order, or a valid American Express, Visa, MasterCard, Diner’s Club Card, or Carte Blanche card number and expiration date are acceptable.

Funded attendees: If you are a jurisdiction representative whose travel is being funded by IRP, Inc., you will receive information from IRP about submitting your housing form. Do not contact the hotel directly for reservations. Read more about funded jurisdiction travel.

Extending Your Stay
A rate of $219 will be available three days before and after the meeting; specifically, April 25, 26, 27 28 and May, 4, 5, 6. The New Orleans Jazz and Heritage Festival will take place April 27 – May 6, 2018. This both gives you interesting tourist options before and after the meeting, but also means hotel rooms will be hard to find as the meeting approaches.

If you plan on extending your stay:

  • Funded by IRP: If you anticipate having your travel funded by IRP as:
    • A Board member,
    • A member of the Dispute Resolution, IT, or Peer Review Committees, or
    • A funded jurisdiction representative,

    Please contact IRP with your arrival and departure dates now. IRP will block these dates for you with the hotel, pending availability. You will be responsible for payment of these additional nights. After you register for the meeting, you will also be asked to complete a hotel form where you will also provide these details. You must contact IRP in addition to reflecting these nights on the hotel form so that IRP can make this request in a timely fashion. For the nights of April 25, 26, 27, 28 and May, 4, 5, 6, the cancellation period required is 45 days. If you cancel one of these nights within 45 days of your arrival date, you will be charged for one night’s deposit.

  • Self-pay (either by you or your organization):
    First, make your reservations online or by calling 1-800 774-1500, group code IRP, for any conference night you are staying (nights of April 28 through May 3). Then contact IRP's group rooms coordinator at the hotel, indicating your reservation number and your complete requested arrival and departure dates. Contact is Terrin Toney, phone (504) 212-3670, fax (504) 523-6536. For the nights of April 25, 26, 27, 28 and May 4, 5, 6, the cancellation period required is 45 days. If you cancel one of these nights within 45 days of your arrival date, you will be charged for one night’s deposit.

Funded Travel Change for Jurisdictions with Board or Committee Members
In the past, if a committee or Board of Directors volunteer from a jurisdiction was funded to attend the IRP Annual Meeting, the voting member was not covered. The IRP Board reviewed this policy and determined the importance of funding the voting member in addition to any of these volunteers; therefore the voting member will be funded as well for the 2018 meeting. However, if the committee volunteer is also the voting member for a jurisdiction, IRP will only fund that person.

Funded Jurisdiction Attendance
If you are attending the meeting as a jurisdiction representative funded by IRP, Inc., you will receive logistical information directly from IRP. See the Funded Jurisdiction page for general information.

Cancellation Policy
Cancellations of meeting registration received prior to March 30 will be reimbursed in full. Cancellations received April 1 - 15 will have a $40 cancellation fee; cancellations starting April 16 are subject to a $100 cancellation fee. Exceptions may be made for personal emergencies – documentation may be required. No refunds will be granted to no-shows. Cancellations must be made by email to IRP.

2018 IRP Annual Meeting
